Booking Conditions

 General Terms & Conditions

Our room prices are seasonal and are based on two people sharing a double or twin room per night and four people sharing our family room per night. We can cater for additional occupants in specified rooms for an additional charge of £30.00 per adult per night and £25.00 per child per night. During all festivals including the Hay Festival and Royal Welsh Royal Welsh Winter Fair, Brecon Jazz Festival Show periods extra occupants are charged at an additional flat rate of £50.00 per person per night. All bookings are inclusive of a full choice breakfast from our published breakfast menu. All rooms are available for single occupancy (dependent on the time of year), with a deduction of £10 per night off our  room prices at for that particular date/dates. We are sorry but we do not normally offer single occupancy discounts to our rooms in our main season, week-ends, bank holidays, school holidays, Festivals or special events. Please ask at the time of booking.

Check-in: You may check in between 3:00pm and 9:00pm however we would be very grateful if guests could provide us with a time window when you think you will be with us so we do not make any arrangements during your arrival times. Early check in's are available between 11am to 3pm, subject to the room being available. Please call or email us to enquire first (the charge is £10.00 per room per hour for early check in).  We ask our guests to inform us of any delays or changes to travel plans as early as possible, in order to minimise any disturbance to other guests by way of the inevitable sound of luggage being transported to rooms. Once guest have checked in you may come and go as you like with your own access keys. Please would you also keep us informed by phone text or email if your arrival time is likely to change.

Checkout: We ask guests to check out of their rooms by 10:30am.  If you require a later check out time and we are able to do so *subject to availability,  an additional £10.00 per hour per room to cover extra staff costs..  Please ask at the time of booking or when you check in.


Your Booking/Cancellation: Once you receive an email, social media message or written confirmation,  your booking is 'a contract between us'. We would normally only accept bookings when you provide credit/debit card details. Returning customers may be exempt from this. We will carry out a preauthorisation on your card and reserve the right to debit your card any time after booking or before your arrival.  If  you cancel or fail to turn up and your card has not been charged, the full amount will still be due. You may at our discretion, alter the dates of your stay (dependent on the time of year and subject to availability).
 Any such agreed alteration or other changes to your original booking will incur an administration charge of £50 for each room, on each occasion that it is altered. We advise all of our customers to have holiday cancellation insurance in place to cover  any last minute changes to your plans.

*Corona Virus (Covid-19).  As a result of Covid-19 our property/room cleaning has had to be enhanced in keeping with Welsh and Uk government guidelines. * Please refer to Covid-19 in the above menu bar. As a result, we have had to add an additional charge of £10 per stay of 1 to 3 nights and £15 for stays of up to 1 week. Any bookings received after 11th July 2020  or any mutually agreed rearranged bookings booked before or after 11th July 2020 and or after 12th April 2021 will only be refunded in the event of cancellation or no-show if we receive notification from an authorised medical professional, that you are unable to travel due to Covid - 19. Similarly if we are closed due to such  restrictions including a third wave wave of  Covid-19, we will offer a refund if mutually agreeable dates cannot be agreed.  By booking  or rearranging a booking under these circumstances, we assume that you have read and agree to these terms. We advise all our guests to make sure that they have the appropriate travel/cancellation insurance in place for conditions outside of these circumstances.

Your card details:  When you give your card details either over the telephone or to third party websites during the booking process, we hold these to secure your booking and for verification purposes and we deem this that you have read and agreed to our booking conditions and given us permission to debit your card within all of the terms above and below. Please note that if you have reason to cancel or fail to show up, we will still charge this card for the full amount.  In the event of an underpayment, as an oversight on your or our part, we reserve the right to charge your card additionally after your departure, without contacting you. All card details are destroyed after either your departure date or in the event of a cancellation or no show after we have taken full payment, unless there is an outstanding amount as a result of any of the conditions above or below.

Business traveler or Company Booking: If you wish to make a company booking for your team or individuals, please give us a call as we will be able to arrange payment by invoice or other ways that will be acceptable to you.


Children: Children of all ages are welcome but must be supervised by an adult at all times.

Smoking: In keeping with current government legislation and for the comfort of all our guests we operate a strict no smoking policy throughout the building. We operate a strict no-smoking policy throughout the building (this also applies cannabis and electronic cigarettes). Smoking is permitted outside where ashtrays are provided. * Out of fairness to the next guest and to maintain our integrity as a clean and non-smoking establishment, please do not smoke in your bedroom or bathroom. If we deem there to be a smell of smoke after your departure which disrupts or affects future bookings, we will make a charge to compensate us for any additional cleaning etc. In the event of anyone having used drugs in or on any part of the premises, they will be asked to leave immediately and will be charged in full. To clean a room after this has occurred, will require a complete deep clean of the room, carpets bedding mattresses etc. We reserve the right to charge this in full to your credit card without further permission. We will charge a minimum of an amount equal to a further night’s stay plus the cost of cleaning the room.

Damage: We reserve the right to charge for the replacement, cleaning or repair of any item(s) belonging to our business (Old Radnor Barn), the fabric of the building itself,  or our personal belongings whether damaged wilfully or otherwise. In this respect, your card may charged without any prior consent being required for the costs incurred. We will check your room before you arrive and after you leave.

Lost Keys: On check in, you will be issued with a room key and a front door fob. It is your responsibility to ensure safety of your keys and key ring at all times and return them at the end of your stay on check out. Failure to do so will be subject to a minimum lost key charge of £350.00.

Parking: We have limited private car parking (6 cars spaces) for guests arriving by car. If you have more than one vehicle or a trailer, each of these will be charged at the rate of £15.00 per day or part of the day. We cannot accept liability for any damage or theft to vehicles whilst parked within our car park and space is on a first come basis. 

Food: Our breakfasts are freshly prepared using local ingredients when in season. We can cater for people with all types of food intolerance's and  are happy to cook an alternative but you have to arrange this with us in advance.  *Please contact us to discuss your requirements.

Pets: We do accept pets in some rooms however, we make an additional charge of £12.00 per animal per night, in order to cover the additional cleaning costs. Allergies are a problem these days. Please note that pets are not allowed in the communal areas with the exception of guide dogs. There are plenty of places to toilet your pets outside of our property, all we ask is that you clean any mess up immediately. Any damage caused by your pets, including an additional deep clean if we deem it necessary, must be paid for in full before your departure.
If you do not make us aware of any damage and we find out after your departure, we will charge your card without any prior consent for any costs incurred. We check your room before you arrive and after you leave.

Circumstances Beyond Our Control: We cannot accept responsibility for unforeseen circumstances beyond our control. These include (but are not limited to) adverse weather conditions, fire, riot, war, terrorist activity (or threat of such activity), industrial dispute, natural disaster, or injuries and death of an individual(s) through accidental circumstances unconnected with Old Radnor Barn. By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid to the provider upon demand. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions.

Insurance: In common with all accommodation providers we strongly recommend that guests take out holiday insurance just in case you are forced to change your plans., or if you have to cancel. Under such circumstances, we will be happy to supply any documentation as required by your insurance company.

Cards:  Please note that all credit cards, business debit/credit cards and overseas debit/credit cards will incur an additional charge of  5%.  There will be a charge of £2.50 per transaction for all personal UK registered debit cards and 3% for PayPal and UK credit card transactions.
